  • Coordinates with Program Managers and Officers
  • Direct line supervisor of N/A
  • The HR & Admin Assistant will works closely with Senior Admin, Finace & HR Officer to execute administrative and HR related functions as delegated. S/he ensures that HEKS policies, regulations as well as country laws in the areas of admin and HR are being respected at all levels.

Job Responsibilities

  • HR & Admin
  • Initiate & implement recruitment & selection process i.e., job post, longlist, shortlist, arranging tests (written & interview), Reference check etc.
  • Providing information package to all staff and advise on the interpretation of HR policies & procedures and ensure the compliance of HR policy.
  • Lead orientation and induction of all staff on code of conduct, Gender and Safeguarding, and other policies, and ensure all staff have signed the organization’s code of conduct accordingly.
  • Conducting HR session with field colleagues (Including Volunteer & Casual Staff) to aware them about HR Policy & their benefits package as per HR policy.
  • Lead the ID card preparation process for National Staff & Casual Staff
  • Maintain confidentiality of HR related information and documents strictly and sincerely.
  • Follow up on probation evaluation & receive validated probation evaluation form with necessary documents.
  • Monitor employees’ attendance (digital & hardcopy) & leave of all offices & ensure collection within cut off date to support payroll process.
  • Monthly field visit to all offices to ensure HR & Admin compliance as well as prepare report for the management.
  • Support Senior Officer for comply employee separation process.
  • Coordination with Group insurance authorities & staff for sensitizing group insurance benefits.
  • Ensure properly archiving of Human resources related files like: Recruitment Attendance, leave, payroll & others.
  • Ensure that basic services such as water, gas, electricity, internet, telephone and other services are well functional, and make timely efforts to repair in case anything is out of services through effective liaise with logistics & finance.
  • Ensure overall administration is functioning smoothly and efficiently.
  • Any other duties to be assigned by the supervisor.
  • Safety and Security
  • Share any security information with the HAD and AFM.
  • Provide timely incident report to HAD and AFM.
  • General
  • Deliver high quality results in line with the terms of reference agreed in advance – to do this in a way which maintains the reputation of the Humanitarian Department.
  • Comply with HEKS/EPER policies and practice with respect to code of conduct, health and safety, equal opportunities and other relevant policies and procedures.
  • To perform such other responsibilities as agreed with your line management.
  • Proactively support HEKS commitments to gender equality, child protection and disability sensitivity: i) Implement all work-related activities with a gender, disability and child protection lens, considering the different needs, concerns and ideas of our staff and beneficiaries ii)Ensure the incorporation of gender equity principles in all policies and activities iii) Encourage the participation of all genders in meeting and on committees iv)Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability.

Educational Requirements

  • Bachelors in Human Resources or equivalent

Experience Requirements

  • At least 3 year(s)


Additional Requirements

  • at least 3 years of experience in similar role
  • MBA in HRM or PGD in HRM will be preferable.
  • Working experience in NGO’s Emergency context is must
  • Advance excel proficiency will be preferable.
  • Knowledge of donor regulations, fiscal laws pertaining to NGO’s,
  • Good knowledge of security management in humanitarian context;
  • Excellent computer skills.
  • Fluent English skills (written, spoken and reading)
  • Willingness to accept frequent field visit.
  • Strong attitude to take initiative, work autonomously and achieve results effectively.
  • Flexibility and Stress-management.
  • Respect of HEKS/EPER mission and values.
