Job Responsibilities

  • Answer incoming calls promptly and professionally, using a courteous and friendly tone.
  • Transfer calls to the requested extensions or departments accurately and efficiently.
  • Handle a high volume of calls while maintaining a high level of customer service.
  • Assist callers by providing information about the organization, its departments, and employees.
  • Offer directions, general information, and guidance to callers as required.
  • Provide polite and helpful responses to caller inquiries, striving to enhance the overall caller experience.
  • Facilitate communication between employees by connecting calls to the appropriate individuals or departments.
  • Relay messages accurately and promptly to ensure timely communication within the organization.
  • Follow established protocols for handling emergency calls, such as fire alarms, medical incidents, or security breaches.
  • Quickly and accurately route emergency calls to designated personnel or authorities.
  • Maintain accurate records of calls, including the caller’s name, extension, purpose of the call, and actions taken.
  • Generate reports on call statistics, including call volume, call durations, and frequently requested extensions.
  • Handle and resolve minor issues and concerns related to phone lines, connections, and call quality.
  • Escalate technical issues or complex problems to the appropriate technical support teams.
  • Follow established telephone etiquette and customer service standards at all times.
  • Maintain a professional and friendly demeanor while interacting with callers and colleagues.
  • Collaborate with receptionists, administrative staff, and other relevant personnel to ensure smooth call routing and effective communication.

  • HSC, Bachelor degree in any discipline

  • 2 to 3 year(s)

Additional Requirements

  • Age 22 to 25 years
  • Both males and females are allowed to apply
  • Prior experience as a telephone operator or in a customer service role is advantageous.
  • Excellent verbal communication skills and a clear, pleasant speaking voice.
  • Proficiency in using telephone systems, including transferring calls and placing callers on hold.
  • Strong customer service orientation and the ability to remain calm and composed under pressure.
  • Basic computer skills like MS Office for data entry and generating reports.
  • Familiarity with the organization’s structure, departments, and key personnel.
  • Problem-solving skills to address minor technical issues and escalate larger problems.
  • Professional and courteous attitude with a commitment to providing exceptional service.
  • Ability to multitask and manage a high volume of calls effectively.
